Ocean Blue Digital uses artificial intelligence tools to support parts of our digital marketing, website, design, content, analysis, and administrative work. This AI Privacy Policy explains how we handle client and personal information when we use those tools.

This policy supplements our general Privacy Policy. The general Privacy Policy controls how we collect, use, disclose, retain, and protect personal information across our website and services.

1. How We Use AI

Our team may use AI-assisted tools for tasks such as:

  • Design concepts and image generation

AI tools support our team. A team member remains responsible for client work and reviews client-facing deliverables before delivery.

Depending on the project, an AI tool may process limited information such as:

  • Public information about a client or its market
  • Draft content, designs, code, or campaign materials
  • Meeting notes or transcripts when participants have received appropriate notice
  • Website, advertising, or performance information needed for analysis

We limit the information submitted to an AI tool to what the task requires. Our team removes or generalizes identifying information when the work allows it.

3. Sensitive and Confidential Information

Our team must not enter passwords, payment card numbers, Social Security numbers, private authentication credentials, protected health information, or other regulated sensitive data into public or consumer AI tools.

We do not intentionally submit confidential client information to a public AI service unless the client authorizes the use and we have reviewed the service’s privacy and security terms.

When a project requires confidential information, we use approved tools and account settings designed for business use, limit access, and apply available controls that restrict provider use of submitted data.

4. AI Providers

We may use AI services supplied by technology, productivity, design, transcription, analytics, and software development providers. The providers and tools may change as our work changes.

We review a tool’s purpose, access controls, data terms, retention options, and available business settings before approving it for client work. We configure supported tools to limit the use of client content for training general-purpose models where that option is available.

AI providers may process information on systems located outside your state or country. Their terms and privacy policies also govern their processing.

5. Human Review and Automated Decisions

AI systems can produce inaccurate, incomplete, or biased results. Our team reviews AI-assisted work in the context of the project before using or delivering it.

Ocean Blue Digital does not use AI as the sole basis for decisions that create legal or similarly significant effects for clients, employees, applicants, or website visitors.

6. Client Transparency and Choices

Clients may contact us to:

  • Ask whether AI tools contributed to their project
  • Request a general description of the types of tools or processes used
  • Discuss limits on the use of specific client information with AI tools
  • Ask us to correct or delete personal information, subject to applicable law and contractual requirements

A request to exclude AI from a project may affect scope, timing, workflow, or price. We will discuss those effects before changing the project.

7. Ownership and Responsibility

Ocean Blue Digital remains responsible for the work we deliver under our client agreement. AI assistance does not change the ownership terms stated in that agreement.

We do not promise that an AI-generated element is unique or that a third party will not produce similar material. Our team reviews intended uses and makes reasonable checks appropriate to the project, but clients should obtain legal advice for trademark, copyright, regulatory, or other specialized questions.

8. Security and Retention

We use access controls, approved accounts, and internal practices designed to reduce unauthorized access to information processed through AI tools. No AI service or transmission method can guarantee complete security.

We retain AI-related inputs and outputs only as needed for the project, business records, security, dispute resolution, or legal obligations. A provider may apply a different retention period under its service terms and account settings.

9. Changes to This Policy

We may update this AI Privacy Policy when our tools, services, or legal obligations change. We will post the revised policy on this page and update the date above.
